1. Purpose of this document
1.1 In this document, we will explain which personal data of customers, suppliers, business partners, website visitors, and applicants for advertised job vacancies we collect, how we collect personal data, where we store them, for what purposes we use them, and when and why we delete them. In accordance with the General Data Protection Regulation (GDPR), we are required to inform you appropriately about these matters.
1.2 Fatburn events operates in accordance with the principles of the GDPR when collecting and using personal data. Please read the privacy policy document to understand the rules regarding the processing of your personal data.
1.3 Fatburn events manages your data – we collect and use your data.
1.4 The privacy policy includes all performers and subcontractors of the data processing process that Fatburn events uses for the successful completion of the purchasing process and informs them about its services and offers.
2. What data do we collect?
2.1 Personal data or information relating to an identifiable individual. We also process special categories of personal data (so-called sensitive data) that require a higher level of protection.
2.1.1 From participants, we will collect, store, and use the following personal data:
2.1.1.1 Your name, surname, address, telephone number, personal email address, and information about whether you are 16 years old or older. We need this personal data to transparently carry out the service you expect from us – for example, ticket sales, experiences, and informing about new interesting events. This helps us tailor our services to your desires and needs.
2.1.1.2 When you visit our websites (www.fatburn.si, www.ljubljanica.net, www.mbsportfest.eu, www.novoletniskokvmorje.eu, www.oceanlavaparenzana.eu, www.sportoroz.eu, www.ultratrailsavinja.si, www.alpegf.eu, www.trailvelikaplanina.eu www.trail-ljubljana.eu), Fatburn events stores your IP address, information about when you visited our websites, which events you viewed, which operating system, device, and browser you used. This data is collected through cookies.
2.1.2 From our business partners, event participants, we collect, store, and process a minimal amount of data (name, surname, email, and telephone number) in order to fulfill our contractual obligations to the partner for ticketing system rental and inclusion in the ticket sales system.
3. How do we collect your personal data?
We collect your personal data directly from you when you register on our websites, when you contact us regarding our services, when you register for events, or when we contact you via phone, email, or social networks.
4. Why do we need your personal data?
4.1 When you register on our websites, we will process your personal data in order to fulfill our contractual obligation to you, i.e., to sell you the tickets you wish to purchase. For this purpose, we will process your personal data:
4.1.1 to provide our services to you. Our service is providing or selling desired tickets, charging the order, and sending tickets to your address, email, or phone.
4.1.2 to inform you about other relevant and interesting events so that you do not miss the start of ticket sales. We will use an automated process to assess your preferences, for example, which upcoming events and offers might interest you. Based on this process, we will send you promotional emails with new events and offers.
4.1.3 to inform you about any changes regarding the event (change of venue/date, cancellations).
5. What are the legal grounds for using your personal data?
5.1 We will only use your personal data to fulfill contractual obligations to you if there is our legitimate interest, i.e., when you consented to data processing by joining our services that we provide, and when required by law. We may process your personal data until our activities disproportionately violate your privacy. Your personal data are processed:
5.1.1 when we need to fulfill our contractual obligations to you – to provide you with tickets.
5.1.2 if we need to fulfill a legal obligation.
5.1.3 when there is our legitimate interest:
5.1.3.1 we want to meet your expectations as our customer and buyer.
5.1.3.2 we do not want you to miss new upcoming events and offers.
5.1.3.3 we want to ensure that we operate as a ticket distribution company.
5.1.4 when it is in the interest of a third party, such as organizers whose events have special packages and offers. We will process your personal data to meet your expectations as our customer and buyer.
6. If you do not provide us with personal data
If you do not provide certain requested data, we may not be able to fulfill all contractual obligations (provide you with tickets), inform you about event changes, or inform you about events or offers suitable for you.
7. Change of purpose
Please note that we may process your personal data without your knowledge or consent if required or permitted by law, such as fraud investigation.
8. Profiling
8.1 An automated process will be used to assess your preferences regarding upcoming events and to determine if they are of interest to you.
8.2 Based on this process, you will receive promotional emails with new events and offers.
9. To whom will we disclose your personal data and for what purposes will they be used?
9.1. We will disclose your personal data to the following third parties:
9.1.1 Organizers who need your personal data to provide services (e.g., special offers that include more than just tickets – meet & greet, sale of promotional material, early entry to the venue).
9.1.2 In cases required by law or other regulations, we will disclose your data to tax, auditing, or other competent authorities.
9.2 All our service providers – third parties and other entities within the Fatburn events group – must accept appropriate security measures to protect your personal data in accordance with our policies and GDPR. We do not allow our service providers – third parties to use your personal data for their purposes.
9.3 Categories of these recipients and confirmation data are not transferred outside the EU.
10. Where do we process your personal data?
10.1 We process your personal data through several processes, for various purposes (providing services, e.g., fulfilling a contractual obligation and when there is a legitimate interest):
10.1.1 our central database, located on secure servers within Fatburn events. At our request, other companies may access information from databases to perform certain data processing activities (e.g., deleting data upon your request).

We have implemented appropriate security measures to prevent your personal data from being accidentally lost, misused, or accessed in an unauthorized
manner. We have procedures for effective and timely resolution of any suspicions or actual abuses of your personal data, notifying you and the local regulator for such violations, where required by law.
13. Data storage and deletion
We will retain your personal data for as long as necessary to fulfill the purposes, including complying with legal requirements.
13.1 To provide our services, we will keep your personal data (name, surname, address, contact) in our main system for five years from the date of the last order. They will then be deleted.
13.2 For accounting purposes, we will retain your personal data (name, surname, address, contact) on our main server for ten years from the date of the last order. They will then be deleted.
13.3 For marketing purposes, we will keep your personal data for five years from the date of the last order. If you have subscribed to notifications, your data will be retained until you unsubscribe or request deletion of personal data.

14. Your rights regarding the processing of your personal data
14.1 Please keep us informed of any changes to your personal data. It is important that the personal data we hold about you are accurate and up to date. Failure to notify us of changes to your personal data may result in the provision of certain services not being guaranteed. For example, if you do not notify us of a change in your address, you may not receive tickets.
14.2 You have the right to be informed about how we manage your personal data. In case of changes in data management, we will provide you with an updated version of this privacy policy.
14.3 You have the right to object to the processing of your personal data.
14.4 You have the right to request access to your personal data and verify that we are processing them lawfully.
14.5 You have the right to request correction and completion of any incorrect or incomplete data related to you.
14.6 You have the right to request the deletion of your personal data. If you request us to delete your personal data, you can still use our services as a guest. Unfortunately, you will not be able to enjoy full services, such as receiving important event information (change of venue or date, event cancellation), or information about new and interesting events and offers.
14.7 You have the right to restrict data processing based on our legitimate interests and for direct marketing purposes. We will no longer be able to process your personal data based on legitimate interests, which means you may miss out on new offers and events.
14.8 You have the right to receive back the data you provided to us in a “machine-readable format.”
